New OVC Accounts

When someone new comes in to an OVC department, here are some things that should be done:

  • New Central (email) Account Setup

    If they do not already have a U of G e-mail account, the Departmental Administrative Assistant will fill in and submit a copy of this application form (PDF). Even if they prefer to use another e-mail account, this must still be done for CFS (see below) access.

    When the account is created, CCS will fax it back with the assigned UserID and password. This password will be used to set a more secure, private one with the password change page (more on this under CFS below).

  • CFS (OVC Network Login) Accounts

    All new U of G Faculty, Staff, and Students automatically have CFS (which OVC is a part) network accounts created at the same time as their e-mail accounts. CFS accounts have been created and managed in at the same time as central accounts because CCS has the resources to track valid UofG Faculty/Staff/Students, whereas OVC ITS does not. When a new email account for a user, the user's CFS account is also created but before the user can access the OVC network 2 more things have to be done:

    • the account must be added to an OVC departmental "security group", if not already done when the account was created. The most usual case where this will not already be done, is when people change departments, or (for instance) when non-DVM students work here for a semester. If someone not in an OVC security group logs in, they can not see the OVC shared drive ("V:\" drive). If they are not in the proper departmental group, they will not be able to use some departmental services (e.g. departmental printers). If a change needs to be made, call x54778.
    • If the person has never logged on to CFS before, then they need to go to the password change page to set their CFS password. This page changes both CFS and e-mail passwords simultaneously, and if they do not wish to change the e-mail password at that time, they can just re-enter the old password.
  • ListServ

    The Departmental Admin. Assistant should add the account to the appropriate section of the OVC ListServ mailing list. This ensures OVC and departmental news is received. The "@ovc.uoguelph.ca" should be used consistently here.

  • University of Guelph Directory

    To add a new account to the UofG Directory, email director@uoguelph.ca and included the following information:

    • full name
    • telephone extension
    • department
    • e-mail address (******@ovc.uoguelph.ca format preferred over ******@uoguelph.ca.)
    • room number

CFS Account Creation

Before we can create an OVC CFS Network Account, you (or your Departmental Administration Assistant) will need to apply to Computing & Communications Services (CCS) to get a Central Computing Account.*

After obtaining your CCS account, you (or your Admin Assistant) should e-mail "Directory - Changes" to notify them of your e-mail address (ID@ovc.uoguelph.ca).

You may already have a CCS account, especially if you are (or were recently) an undergraduate student at U of G.

Come see the OVC Information Technology Services (ITS) accounts administrator. (Or have your Admin. Assistant call x 54778).

You will need to provide:

  • Your CCS account user ID, usually in the form of first initial, last-name, ("FLastnam", 8 Characters max.)
  • Your full name.
  • OVC Departmental affiliation.
  • Your U of G ID# (i.e. Student or employee ID #).
  • Status (Faculty/Staff/[Grad/Undergraduate] Student).
  • For students: the person you will be working with.
  • Some contact information (Room number, phone number).
  • Both CCS and OVC network accounts are free.

CFS Account Deletion

CFS accounts are disabled when:

  • if OVC ITS receives notice from the departmental admin assistant or the user
  • if the account is inactive for a semester
  • if CCS disables an account

Disabled CFS accounts are removed (with their data) after being disabled for a about one semester.

  • If you are a supervisor of someone who is leaving, be sure to ask them to transfer any data you may wish to use before they leave. Due to privacy laws, OVC ITS will not copy student/employee data to professor/supervisor accounts without written permission from the owner.

CCS accounts are removed when:

  • CCS receives notice from departmental administrative assistant or the user
  • CCS notes that the person is no longer in the Registrar's or Human Resources' databases, with the exception that CCS doesn't remove student accounts over the summer, but will do so if they do don't re-register in the fall.
