Entering materials
- Select search & retrieve
- Under the details bar (bottom left) select "University of Guelph v1"
- Enter in the metadata
- Fields indicated with an asterisk are mandatory
- Most field headings are self explanatory however if clarification is needed see the specific field information below
- Save the case
- At this time you will be prompted to upload the image or data files
- Rearrange and title images/files
- Save the case
Recommendations for Multiple Data on the Same Case:
- Enter each data set as a seperate case (i.e. radiographs seperate from lab work or physical exam photos)
- Put the case number or a common title in the "Related cases/Links" fields to direct the students to search by that case number for the remaining material
Things to Avoid:
- Don't use the "&" sign - it and everything after it will be deleted once the case is saved
- Make sure that videos have and *.avi or *.mpeg extension (not and*.html)
Specific fields
*Title (Reference number/name):
- Enter the case number or other identifying number (AHL, WBC etc.). This will be the common reference number for all case materials.
- Also enter and any other identifying information. This is the field that will display in the search results list so ensure that there enough information to recognize the material.
- If you are entering non case related teaching objects you need only enter an appropriate title.
Category:
This field will indicate what type of teaching material you are entering. Select one of the following from the controlled index tab on the right hand side of the box. Each of these major categories has sub categories to select from.
- Atlas of Normals
- Collection
- General Item
- Medical Case
- Research
Discipline / Procedure:
Select the appropriate category from the controlled list. Each selection has multiple subcategories

If known enter the specific date of birth
Age (not DOB):
This allows you to enter adult, juvenile, etc. rather than a specific birth date.
Patient Name:
This field will only be visible to administrators and the individual who submitted the case. This will not be visible to users with read only access.

Diagnosis:
Enter the final diagnosis.
*Description:
Provide a complete description of the images or files. This description should allow the students the ability to fully understand the material. Each discipline may have a different style however it would be beneficial to maintain consistency in the format within each discipline.
*Keyword:
Provide a few key words for the materials.
User Notes:
This field will only be visible to administrators and the individual who entered the case. This is a good location to makes notes to yourself to help you find case material.

Photographer:
This field is used to indicate the person who acquired the images or the source of the images.
*Submitter:
The name of the person who entered the material should be listed here. If you have students entering case material you will then be able to search by the student name to find the material they have entered for review and editing.
*Copyright / use:
This field indicates who whom the submitter intended the distribution of the images. Please respect the wishes of your colleagues.

Enter the name of the person who gathered the case material to be submitted. In most cases this will be the faculty member.

Requested Addition:
This field will be searched periodically for requested updates to controlled index lists. If you need something added to the controlled index list please include it here.
Creating Labs or Case Collections
- Click on "Selected Cases / Files" (1) from the left hand menu
- Click on the blank piece of paper at the top of the tool bar (2) to open a new collection
- Search the database for the case material
- Below the search list there are two options - add all cases to the case collection or add selected cases to the case collection (3). If you wish the later select all the cases you would like and then click this option
- These cases will now be listed in the "Selected Cases/Files" tab
- Click on the disk icon (4) to save your collection

If you forgot to log out of the system before closing the window you will automatically be logged out in 30 minutes. If you wish to access the database before the 30 minutes is up enter your e-mail and click on the "Forget me" button immediately to the right of the logon button. That will close your open session and you can then log in again.
